How to Reprioritize your Overwhelming To-Do List

We’ve all been there. Thinking we’ve got a jump on our tasks because we finally have them all written down; whether it's finalizing a big project, preparing a family meal plan for the week, or arranging a weekend outing. But after taking a look at the list on a whole, you start to fear that you’ve thrown successful time management out the window and have no clear sense of where to start. Well, this is where the Eisenhower Matrix comes in. Using this structure of prioritization, not only will you be able to clearly identify which tasks to start on. But, it will also help you identify the tasks that will truly make a big impact on your goals. So, if you’re ready to start tackling what seems like an infinite to do list, keep reading!  


Step 1: Categorizing your tasks

Separate your tasks into the categories of work, home, relationships, and personal. Breaking down your tasks into these categories will help you identify why each of the tasks you deem important are labeled as such. Instead of having one big list riddled with many important tasks, you’ll have 4 smaller lists with focused tasks. And later on in the process when you begin scheduling in your tasks, you will be able to make adequate time blocks in your day/week to make sure you are giving the time you desire to each category.


Step 2: Understanding the Eisenhower Matrix

The Eisenhower Matrix, is a method of organization that categories tasks based on importance and urgency. To-do list items can be assigned into one of four categories:

1. Urgent & Important

2. Important, but not Urgent

3. Urgent, but not Important 

4. Not Urgent or Important

In using this method, it is key to define what is meant by the terms “Important” and “Urgent”. “Important” refers to the items that contribute significantly to your long-term goals and values. Whereas “Urgent” refers to tasks that require immediate attention and have deadlines approaching soon.


Step 3: Assigning Due Dates

Some tasks will have natural due dates (e.g. appointments, outings, or play dates).

Other tasks will need you to assign a due date. This is when you’ll need to define your tasks based on importance & urgency. To do this, there are two factors you need to consider. Firstly, identify the tasks on your list that are high impact. These are the tasks that, once completed, will produce significant results. These are your important tasks. For example, completing a major project for a professional development program, like a portfolio or presentation, could be a high-impact task that significantly boosts your career advancement. The other factor to consider is the order of completion. Some tasks involve pre-requisites that need to be completed before another task can begin. For instance, preparing a weekly meal plan is a prerequisite for organizing a grocery shopping trip. You need to identify these pre-requisite tasks and mark them at a higher level of urgency than the tasks that depend on them. This will ensure that your focus remains on the relevant tasks at hand, freeing up some of your mental space. 

Recurring tasks: There will be some tasks that you have to complete on a regular basis. In most cases, these items can be deemed as important but not necessarily urgent. Examples include scheduling in weekly family time or setting aside time for personal self-care activities, such as a workout or meditation session.

During the process of using the matrix, you’ll find that there are tasks you don’t really deem truly important or urgent. If you find this to be the case, it is recommended that you either delegate these tasks to be completed by someone else, schedule them in for a later date, or remove them from your list until they become relevant.

Step 4: Making the time

Carve out time throughout the week to tackle items in each category outlined in step 1. Assigning each category a colour on your chosen planning system will allow you to easily identify and tweak the areas you plan to put your attention towards.
